Executive Assistant & Board Coordinator
Reporting directly to the Executive Director (ED), the Executive Assistant & Board Coordinator (EA) provides administrative and executive support to the ED and serves as main liaison to the Board of Directors. The EA acts as the primary point of contact for external constituents on all matters pertaining to the Office of the Director and coordinates executive matters with the senior leadership team.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks, familiar with nonprofit boards, and able to work independently. This person must be exceedingly well organized, self-motivated, flexible and enjoy the administrative challenges of supporting a growing organization of diverse people and programs. The ability to interact with staff at all levels in a fast paced environment, sometimes under pressure, with a high-level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

|Job Responsibilities||Executive Support • Provide overall administration of executive office including answering phone; processing ED’s mail; generating, editing, proofing and sending correspondence, documents and presentations on behalf of the ED and CMOM; scheduling and coordinating meetings and conference calls; arranging complex and detailed travel itineraries and agendas; and compiling meeting documents. • Manage the ED’s increasingly active calendar. • Provide interoffice coordination; interface and act as adjunct member of senior leadership team. • Coordinate weekly Directors Meetings, and all-staff and other organizational meetings as needed. • Communicate directly, and on behalf of the ED, with Board members, donors, and other external partners and affiliates on various matters. • Research, prioritize and follow up incoming queries and concerns addressed to the ED, including those of sensitive or confidential nature. Determine appropriate course of action, referral or response. • Copy edit official CMOM communications and proposals when needed. • Assist in organizational recruitment when necessary, processing and responding to resumes. Board Support and Coordination • Maintain the official records of the Board of Directors and ensure that the Museum adheres to compliance with applicable rules and regulations set in bylaws regarding Board and Board Committee matters. • Oversee scheduling, planning, preparation, and communication for quarterly full Board meetings and quarterly meetings for each of five Board committees (and other meetings as necessary). This includes drafting of meeting agendas, development of advance materials, logistics coordination, recording and preparation of official meeting minutes, and writing and sending of meeting related communications and follow up. • Act as Museum liaison and interface with Board Members: receive and impart information, respond to Board Member inquiries, and coordinate planning and implementation of additional Board-directed activities. • Assist in orientation for incoming Board Members. • Update and maintain “Board Book” annually.|
